RecruitMalta are currently helping our client who is a leading insurance company with a global footprint, who has a great opportunity for an Office Co-Ordinator to join this expanding team based in Ta Xbiex. The Office Coordinator is responsible for the coordination of the office being reception duties, Human Resource Administration and Office Administration. In this role you will be the first point of contact both for clients and for employees.
The start time for this role is 7.45am on a normal 40 hour week Mon - Fri
To answer incoming telephone calls, outline purpose of call and forward calls to appropriate personnel and departments.
Greet walk in clients/guests/members professionally while also determining the nature and purpose of their visit by following company procedure to maintain office security
Collect, sort, distribute and prepare correspondence, mail, messages and courier deliveries.
Dealing with local suppliers for deliveries
Managing office supplies
Managing the maintenance and the cleaning of the office
Schedule appointments, maintaining & updating calendars, reminding respective personnel of their appointments, book business lunches, cabs, flights and hotel accommodations Making sure that meeting rooms are organised for visitors
Assisting is organising team activates
Onboarding & Off boarding preparation including the paper work such as Jobs plus and FS4
Maintaining and update of policies and procedures
Managing time sheets for interns
Solid experience in a similar role.
Passionate in supporting people
Flexible team player and ability to work well under pressure and on own initiative
Fluent in Microsoft Office, social media and computer literate.
Discretion and ability to respect confidentiality of information.
